Enter New Customers 'On the Fly' -- By selecting <New Account> instead of an existing customer account when starting a new order, the user is able to then enter all the information for a new customer account without leaving the sales order entry screen.
Existing Designs Must be Present -- Working with many companies, we have found it is a Best Practice to require that a specific design number be entered whenever a decoration is specified. Accordingly, the program will reject any design number which is not already stored in a record in the EmbTrak Design Library. If the design number entered is in a record but design does not exist, the number will be accepted but the design will not display.
Enter New Designs 'On the Fly' -- When a new design is required in an order, the user can select the 'New Art' checkbox, the process type (e.g. 'Screen Print') and click 'Save'. The program will automatically create a new Design record in the Design Library and write the new number into the sales order. Thereafter, the customer, sales rep and production department can all use the number to refer to the new design.
Enter Personalization into a Template -- Typically, when personalization is required on an order, the names and number information is submitted on an ad hoc form by the customer. It could even be handwritten. It is difficult to hodl the customer accountable for misspellings and other incorrect data using these methods. With EmbTrak, we provide an Excel spreadsheet template, which can be given to the customer to type in all names and numbers by garment. This information can be imported into the order with a click. It will print out on the sales quote form for the customer to inspect and approved. Clarity, correctness and accountability are ensured.
Send an Email Confirmation Quote -- Once the order is fully entered, the user can send an email to the customer with an attached PDF containing all the order elements, including specific decorations and personalization listed by garment. Customer acceptance confirms it is correct and puts the responsibility on the customer for mistakes.
Sales Order Validation -- Before EmbTrak will create work orders from the sales order, it runs a validation check which you can configure with business rules to verify that the entered order meets all requirements for a complete, correct order.
