5.23 Release Notes

- Product Redesign - The product screen and many product-related fields have changed. Please see Appendix for more details.
- The new Product Screen displays the selected Products in a grid at the top. Below are tabs for Product Colors & Size Data and Positions.
- You can assign any Colors to the Product from a list of Available Colors. Your styles will be carried over from your previous version.
- The data conversion will compile all unique style colors for any product into the list of Available Colors.
- You can Assign any Sizes to the Product. Your sizes will be carried over from your previous version.
- Sizes are no longer required to be associated with a Product Type.
- Size Types will no longer be required and will no longer exist in EmbTrak. Your Size Types will convert over as Size Ranges. Size Ranges are size templates you can maintain and use to quickly copy in sizes for your new Products. Size Ranges can be assigned to a Product Type if you want to associate them.
- You can also assign Sizes to a product by copying from a Size Range or adding Sizes ad hoc from the list of Available Sizes.
- The data conversion will compile all unique sizes for any Size caption into the list of Available Sizes.
- You can maintain Size Data (Availability, Cost, Price, UPC) for the entire Product or on a By-Color basis as well as by Size. You can also Copy/Paste Size data for one Size row to one or more other Size rows.
- You can Assign any Positions to the Product. Your Positions will be carried over from your previous version
- Positions are no longer associated with a product Type
- The data conversion will establish Position Sets based on your current data. You can maintain and use the Positions Sets to quickly copy in Positions to your new Products.
- You can assign Positions to a Product by copying from a Positions Set or by adding Positions ad hoc from the list of Available Positions.
- The data conversion will compile all unique Positions from any Product Type into the list of Available Positions.
- You are no longer limited to 15 Sizes per Product
- There are now maintenance screens to support these aforementioned Product related data. To access them, go to System - Administration - Product - Sizes, Ranges, Colors, Product Units, Seasons or System - Administration - Decoration - Positions, Position Sets
- Product Screens - Updating Values after Data Updates - As Product information is migrated from previous versions of EmbTrak, you may wish to modify the defaults assigned during the update.
- Size Ranges - The new Size Ranges default with a Name made up of the previous Product Type and Size Type. You will want to modify the Size Range Name and Description to something more helpful for your users.
- You may also want to eliminate duplicates. (Ex. One Size or OSFA)
- Position Sets - The new Position Sets default with a Name of the previous Product Type or Position Category. You will want to modify the Position Set Name to something more helpful for your users.
- You may also want to eliminate any duplications (Ex. TPALL)
- Size Ranges - The new Size Ranges default with a Name made up of the previous Product Type and Size Type. You will want to modify the Size Range Name and Description to something more helpful for your users.
- Sales order Screen - Sizes
- Sales Order Line
- As before, the Sales Order line will display up to 15 Size Quantity columns per line. However, there is now an Edit Sizes button on the Sales Order line. When you click Edit Sizes, the Size window opens and you can enter Quantity, Cost and Price for any Size.
- The Product Price column is no longer available on the Sales Order line since you can now assign Prices per Size. The Total Product Price will still display on the Sale Order line.

- Design Library - Fields for Special Processes
- There are now Design Library fields to document special processes and other settings specific to designs. These are currently informational only. In a future plans, we will carry these fields for use in other areas of the EmbTrak Program, particularly Visual Scheduler.
- New Fields
- Special Process - Describes one of various special processes, which are subsets of standard processes. Ex. Under Embroidery, you may have special processes Distressed Applique, Clean Cut Applique, and Puff Embroidery. Use System - Administration - Production - Special Processes to maintain this dropdown list.
- Speed Factor - Defines the percentage of default speed on the machine to use for this design on its process. Valid values are 1-100. Ex. Pull and Applique require slower stitch speeds than ordinary embroidery running at 350 SPM vs the default 700 SPM.. The speed factor would be 50(%).
- SecondsDelayPerItem - Defines the additional seconds required by the current design for each piece. Ex. Applying a basketball applique may call for 15 seconds per head (this work should not be considered parallel on all heads - 15 sec on a 4 head machine = 60 sec delay).
- SecondsDelayPerHeadSetup -- Allows for additional setup time for the entire order because of the need to change needles or do other preparation work unique to this design. This time is added for each head or arm during setup, not for each run.
- Equipment - Declares which equipment the operator needs to set up for this job. Ex. Embroidery order would need Needle. Puff and Applique require special needles. Screen Print would be Squeegee. For some processes, this field will not be used. Use System - Administration - Production - Equipment to maintain this dropdown list.
- Visual Scheduler - Super Orders (Enterprise customers only) -- Super Orders allow the customer to take advantage of multiple orders all sharing the same design, auto-scheduling them all on the same machine as one order instead of being scheduled individually on a smaller machine(s).
- For instance, 50 orders that all share the same design, even if they aren't the same account, could be auto-scheduled into one order that is assigned to a much larger machine, increasing productivity and saving time.
- There are also options available to force only the same account and set date preferences in order to select a certain range of orders & customize the super order.

- Adding New Sales Orders -- Enterprise users can now enter additional new Sales orders without having to exit/reopen the Sales Order screen.
- Reports -
- Work Order Operation Due Summary -- This report can be found under Print - Reports - Work Orders. The Work Order Operation Due Summary provides a monthly total of open work orders and work order quantities by operation due. Selection of the Process Type is required. Including work orders at the Terminal Step is optional.
- Design Proof - The Design Proof report now sorts pages by Product and Color.

You can access the Edit Products screen from Products - Edit Products on the main menu

Create a New Product
- Cancel from the Get Products screen
- Click the + to Add a new Product.
- Enter Product’s Number, Description, and Product Type. New Products default to Active.
- Optionally complete any other product columns
- Product Unit - Select from dropdown of Product Units. This is the unit in which this product is stocked. To modify the Product Unit List, click on Edit Product Units or go to System - Administration - Product - Product Units. (Informational Only)
- Season - Select from dropdown of Seasons. This is the season for which this product is stocked. To modify the Seasons List, click on Edit Seasons or go to System - Administration - Product - Seasons. (Informational Only)
- Quantity per Case - Enter the Quantity per Case that this product is purchased. (Informational only)
- Default Vendor - Enter the Default Vendor for this product. (Informational only)
- Mill - Enter the Mill where this product is produced. (Informational only).
- Created Using Process - Select which Process Type can be used on this product. (Informational only)
- Region - Not currently used on EmbTrak 5.+.
- Default Contractor - Select from a dropdown of Contractors. This is the Contractor that will display when this Product is entered on a Sales Order. To modify this Contractor List, go to System - Administration - Edit List Tables - List Data Editor - Contractors
- Note: Right-click the column header area to select/deselect which columns to display.
Colors - From the Color/Sizes Tab, add Product Colors for which this product is available.
- Drag and drop the desired colors into the Colors group box.
- To find a color, use the scroll bar or start typing the color name
- Note: Once a Color has been added to the Colors group box, it cannot be removed. It can be deactivated by unchecking the Active button.
- To add new colors to the Available Colors list, click Edit Colors. Once you’ve saved the new color, you can then add it for this product.
Sizes - From the Colors/Sizes Tab, add Size data.
- Add Sizes - Add the Sizes in which the product is available. You can assign Sizes using a Size Range or by selecting individual sizes.

- Copying Sizes from Size Range -
- Select and Copy from a Size Range. Size Ranges displayed have been assigned to the Product Type of the given Product or not been assigned to a specific Product Type. If no Product Type has been selected for the given Product, all Size Ranges will display.
- To add or modify a Size Range, click Edit Size Ranges.
- Assigning Individual Sizes -
- Click Show Available Sizes. This will display all Active Sizes. Drag sizes from this list to the Sizes grid. To add or modify Available Sizes, click Edit Sizes.
- Click Show Available Sizes. This will display all Active Sizes. Drag sizes from this list to the Sizes grid. To add or modify Available Sizes, click Edit Sizes.
- Note: You cannot delete a Size once it’s been assigned. You can deactivate a Size.

- Assign Sizes to the Product
- Edit Size Data - Size Data is made up of Availability (Active checkbox), Cost, Price and UPC.
- You can assign Size data for the Product, when Size data is the same for all colors. You can also assign Size data by Product Color, when SIze data is different for one or more colors.
- Edit Sizes for All Colors - The Default mode for a new product is to define Size Data for all Colors. In this mode, the Product Number displays at the top of the Sizes grid. When Size data will be the same for all colors, check the applicable Active boxes and enter Cost and Prices for all colors.
- Edit Sizes for each Color - To Toggle to this mode, click the “Edit Sizes for each Color” link. In this mode, the Product Number - Selected Product Color displays at the top of the Sizes grid. For each color, enter Size data. While the Size data is not identical for all colors, the ability to toggle back to Edit Sizes for All Colors will be disabled.
- Note: If Size data is the same for most colors, you can begin by entering Size data for All colors, toggle to Edit SIzes for each Color mode, then only change the Size data for the differing colors.
- Helpful Hint: To save time when entering Size Data, you can highlight the field(s) on a row and copy/paste Size Data to one or more rows.
- You can assign Size data for the Product, when Size data is the same for all colors. You can also assign Size data by Product Color, when SIze data is different for one or more colors.
Positions - On the Positions Tab, add Positions (Logo Locations). These positions will be available for selection in the Position dropdown when entering a Decoration on a Sales Order line.
- Add Positions - Add the Positions that can be assigned for this product. You can assign Positions using a Position Set or by selecting individual positions.

- Copying Positions from Positions Set
- Select and Copy from a Position Set.
- To add or modify a Position Set, click Edit Position Sets.
- Select and Copy from a Position Set.
- Assigning Individual Positions
- Click Show Available Positions. This will display all Active Positions. Drag positions from this list to the Positions group box. To add or modify Available Positions, click Edit Positions.
- Unlike in Colors and Sizes, you can remove a Position selection from a Product.
- Select the unwanted Position from the Position group box and drag it back to the Available Positions list.
